How the totals are calculated
The generator works out the invoice in this order, and rounds each amount to the cent as it goes:
- Each line amount is the quantity times the price. A blank quantity counts as 1.
- The subtotal is the sum of the line amounts.
- The discount is the discount percentage of the subtotal.
- Tax is the tax percentage of what's left after the discount. One tax rate applies to the whole invoice.
- The total due is the subtotal minus the discount plus the tax.
Because every amount is rounded before the next step, the numbers printed on the invoice add up exactly to the total. Japanese yen has no cents, so yen amounts round to the whole yen. A negative price is allowed, for a credit or a deposit already paid. Quantities can have decimals, such as 1.5 hours. Fields you leave empty are left off the PDF.
Letters used in Western European languages, such as é, ü and ñ, print as typed. Other letters, such as Polish ł, Chinese characters and emoji, can't be printed and show as a question mark. The tool tells you when your invoice has one, so open the PDF and check it before you send it.
Worked example
The form opens with an example: a design studio billing a coffee company for a website phase ($2,400), four hours of product photography at $95 an hour and three months of hosting at $49.50, with a 5% discount and 8% tax.
Two of these amounts are rounded: 5% of the subtotal is $146.425, printed as $146.43, and 8% of $2,782.07 is $222.5656, printed as $222.57. Change any number in the form and the preview updates with it.
