How to send documents for acceptance from Make

Two scenarios: one sends the document, one acts on the accepted PDF. Signing works the same way.

    Build the purchase order template

    Use a Google Docs or Word template with placeholders such as {{po_number}} and {{supplier_email}}, and a line item row for the goods.

    Choose Acceptance and the recipient

    Turn on Acceptance in the automation. Take the supplier's email from the {{supplier_email}} placeholder, or set a fixed address.

    Start a Custom webhook scenario

    In Make, start a second scenario with the Webhooks app and a Custom webhook. Copy its address.

    Send the accepted PDF to it

    In the automation's After acceptance settings, turn on Send to webhook and paste the address. Google Drive, Dropbox and the completion email can run as well.

    Add Create Document to your order scenario

    Pick your automation in the DocsAutomator module. Map the order's values to the placeholders, the supplier's email included, and the items as an array.

    Accepted, and the second scenario runs

    The supplier types a name and clicks Accept. The webhook receives the PDF link, the typed name and the PO number. Your scenario finds the order row by that number and fills it in.

How the accepted PDF gets back to Make

When the supplier accepts, the PDF link, the typed name and the time arrive at your Custom webhook. Your scenario does the rest.

What the Custom webhook receives when the supplier accepts, shortened.
  • Put a filter after the webhook that continues only when signedPdfUrl exists. Events such as declined or expired use the same address.
  • Find the order by the PO number in sourceData, which holds every value your first scenario sent. Then write the PDF link and the typed name into the row, your accounting tool or a message to the team.
  • No second scenario needed for filing: Google Drive, Dropbox and the completion email deliver the PDF too.

What to check in a signing app for Make

Five things to check before you choose.

  • Acceptance as well as signing. Purchase orders and order confirmations often need only a yes, with nothing to draw.
  • A webhook you can catch. Without a signed trigger, the signed PDF and the signer's details must reach a scenario some other way.
  • Line items from an array. The order's items should fill the document's table without a module per row.
  • Price per person or per signature. Check whether each team member needs a paid seat, and whether signing costs extra on top of the plan.
  • Proof on every PDF. A certificate and an audit trail that record who signed, when and from where.
