How to send a proposal for acceptance from Notion

Set it up once. Every page that reaches your status gets its proposal created, sent and filed on the page.

    Connect Notion

    In DocsAutomator, connect Notion and pick the database the document is about, for example Clients. Give the connection access to that database.

    Write the proposal template

    Use a Google Docs or Word template with placeholders for the page's properties. For acceptance it needs no signature tags.

    Choose who accepts

    Choose Acceptance and take the client's email from a property, such as Contact email. A fixed address works too.

    Choose the properties that fill in

    Pick a URL property for the link and a Files property for the sealed PDF. The link needs a URL property; a text property does not work.

    Start it from Notion

    Pick a status, select or checkbox property and the value that starts it, such as Status set to Send proposal. A button property works too.

    The client accepts and the page fills in

    The client opens the proposal from the email and clicks Accept, without an account. The sealed PDF lands in the Files property of the page.

When the proposal turns into a service agreement, switch to Signing.

A signed service agreement fills these properties. The Status stays what you set. Fictional data.

Add signature tags to the template and choose Signing. Each signer's email comes from a property or a fixed address.

What to check in an e-signature tool for Notion

Seven questions to ask before you pick one.

  • The sealed PDF comes back to the page. It should land in a Files property, next to the client's other details.
  • Starts from a property you already use. Setting a status or clicking a button should be enough, with no second tool.
  • Signers come from your properties. The client's email should come from the page, not be typed again.
  • Templates your team can edit. Google Docs, Word or PDF, so the people who own the wording keep editing it.
  • Signing and acceptance. A contract needs a signature. A quote often needs only a yes.
  • Price per person or per signature. Check whether each team member needs a paid seat, and whether signing costs extra on top of the plan.
  • Proof on every PDF. A certificate and an audit trail that record who signed, when and from where.
