The agreement after the record is approved

In Quickbase, records are made of fields that whoever built your app defines, so approval is whatever your team sets in a status field.

Quickbase's own Pipelines see that field change the moment it happens. A pipeline can hand the approved record to DocsAutomator, and we fill your Word or Google Docs agreement and send it to the client to sign. A second pipeline puts the signed PDF back into a file field on the same record.

No one copies the client, scope and price into a document by hand, and the signed copy sits next to the project it belongs to.

Three ways to connect Quickbase today

Works through Quickbase Pipelines, Zapier or n8n

Quickbase

Quickbase Pipelines

Quickbase's own automation starts the agreement as soon as Status changes.

  1. Add your service agreement to DocsAutomator as a Word or Google Docs template and switch on signing. Dana from the example record signs, so her Contact Email field fills a placeholder such as {{contact_email}}.
  2. In Pipelines, start with the Quickbase step "Record Updated" on your projects table.
  3. Add a condition that lets the record through only when Status is now Approved and wasn't before. Pipelines can read the old value of a field for this.
  4. Add the Webhooks step "Make Request" and call the DocsAutomator API with your automation and the record's fields.

You need admin rights on the app to use this trigger. Pipelines > Channels shows whether your plan includes the Webhooks channel. If it doesn't, a table webhook can call the same address when the Status field changes.

Zapier

Zapier

If your team already works in Zapier, build the same flow as a Zap.

  1. Pick Quickbase's "New or Updated Record" as the Zap's trigger and point it at your projects table.
  2. A filter step stops the Zap unless Status reads Approved.
  3. Finish with DocsAutomator's "Create Document": Client, Project Value, Start Date and Scope go into the matching placeholders.

Quickbase is a premium app on Zapier, and filters need a paid plan too. The trigger checks Quickbase at intervals, so the agreement starts at the next check.

n8n

n8n

An n8n workflow that Quickbase calls when the record is approved.

  1. n8n has no Quickbase trigger. Start the workflow with a Webhook node, and have a table webhook or a pipeline in Quickbase call its address when Status changes to Approved.
  2. Then the DocsAutomator node, set to Document, Create, fills the agreement from the fields the Quickbase webhook sent.

The signed agreement on the record

Once Dana signs, we seal the PDF, add a certificate page with the audit trail, and send a completion email with a link to it.

Quickbase numbers every record with a Record ID#, so put it in the document name, for example Service Agreement {{record_id}}. We send that name and the link to the signed PDF to a web address you choose. To catch it, build a second pipeline that starts with the Webhooks step "Incoming Request". Then the Quickbase step "Upload a File" puts the PDF from that link into a file attachment field on the record.

Zapier and n8n have no Quickbase step that uploads a file. On those routes, "Update Record" writes the link to the signed PDF into a field on the record.

What to know before you start

Pick the field and the value that mean approved in your app. Checking the old value stops a pipeline from firing on every later edit of an approved record.

A record that goes from Approved to something else and back starts a second agreement. If that happens in your team, add a checkbox such as Agreement sent, tick it when the agreement goes out, and add it to the condition.

What it costs

Plans start at $19 a month billed yearly ($29 billed monthly) and include 100 documents a month. E-signing and acceptance are included in every plan. See pricing for the details. DocsAutomator is made for 20 or more documents a month.
